AI quotation and RFQ automation in Dubai

Requests for quotation arrive as emails, PDFs and Excel BOQs. AI reads the items, prices them from your data and prepares a draft quote. Your sales team sets the final price and sends it.

In short

AI quotation and RFQ automation in Dubai means software that reads incoming requests for quotation, recognises each item, prices it from your price list or ERP and drafts the quote in Arabic or English. AI Vision Hub in Business Bay, Dubai, builds it into your email and ERP. A person approves margins, discounts and every quote that goes out.

(01 - Speed)

Why does quotation speed matter in the UAE?

In trading, contracting and industrial supply, buyers often send the same RFQ to several suppliers at once. A fast, complete answer shows you are organised; a late one may arrive after the comparison is done. Yet many sales teams spend most of their time retyping: copying 80 lines from a PDF into Excel, looking up each item code, checking stock, converting currencies.

That retyping is what AI takes over. Your estimators and sales engineers keep the part that wins the job: pricing strategy, technical alternatives and the conversation with the buyer.

(02 - Steps)

What does AI do with an RFQ, step by step?

The sequence runs in the background from the moment an RFQ lands in the sales inbox or on the sales WhatsApp number:

  • Read - the RFQ is read from the email body, a PDF, a scan or an Excel bill of quantities, in Arabic or English. Each line becomes a structured item with description, quantity, unit and required specification.
  • Match - the AI matches the customer's description to your item codes, even when a buyer writes 'MS pipe 2 inch sch 40' and your catalogue says something longer. Uncertain matches are marked.
  • Price - prices come from your price list, the customer's agreed prices or the ERP, with stock and lead time. Your rules apply: minimum margin, currency, validity, Incoterms and payment terms.
  • Draft - the quote is drafted in your template, in Arabic or English, with a short cover email. Items without a price are listed for the estimator.
  • Follow up - after the number of days you set, the AI drafts a follow-up and records the outcome in the CRM: won, lost, price too high, lead time too long.
(03 - Tenders)

Can AI help with tenders and large BOQs?

Yes, as preparation. Government and semi-government tenders in the UAE are published on procurement portals with long documents, technical specifications and compliance forms. AI reads the tender pack, turns the requirements into a checklist, flags deadlines, required certificates and bond conditions, and prepares a first pricing sheet from your data.

What stays with people: the decision to bid, the final price, technical deviations and every signature. The checklist makes sure nothing in a 200-page document is overlooked; it does not replace the engineer who reads the critical clauses.

(04 - Setup)

What does quotation automation need, and what does it save?

It needs a clean item list with prices, access to the RFQ inbox and a quote template. It connects to Odoo, Zoho, SAP Business One, Microsoft Dynamics or an Excel price list, and to your CRM for follow-ups. Customer-specific rules, such as a framework agreement price or a mandatory brand, are stored once and applied every time. Once a quote is accepted, the order continues in order to invoice automation.

Example calculation: assume 120 RFQs a month with an average of 25 lines, and 2 minutes per line to look up and price by hand. That is 6,000 minutes, or 100 hours. If a person spends 20 minutes reviewing each AI-prepared quote, that is 2,400 minutes, or 40 hours, and 60 hours go back to selling. These are assumptions, not client results. More use cases by department: what AI can automate in a business.

It helps prepare them: it reads tender documents, builds a requirements checklist and a first pricing sheet. The decision to bid, the prices and the signatures stay with your team.
