AI integration is not a software purchase. It is a project with a clear first task, real data, a test and a team that knows what the AI does. Here is the order that works.

Step 1 and 2: which task first, and which data?

Step 1: choose one task. Good first tasks repeat often, follow a recognisable pattern and cost measurable time: answering the same customer questions, typing invoices into the system, sorting the inbox, writing quotations. Avoid starting with the most complex process or the one nobody understands.

Step 2: find the data. Write down where the information for this task lives and who has access. If the price list exists in three versions, decide which one is valid before AI touches it. Mark personal and confidential data now, not later.

Step 3 and 4: which tool, and how to build it?

Step 3: choose the tool. Options range from features inside existing software, such as Microsoft Copilot, to workflow tools like n8n, Make or Power Automate, to a custom AI agent. Step 4: build inside the existing tools. The AI should work where the team already works: in Outlook, WhatsApp, the CRM or the ERP. A new app nobody opens is the most common reason AI projects stall.

Step 5 and 6: how to test and train?

Step 5: test with real cases. Run the AI alongside the current process for a period. Compare its output with what the team did, count how often a person had to correct it and define the threshold at which it may act alone. Uncertain cases always go to a person.

Step 7: when and how to scale?

Scale only when the first task runs reliably and the numbers are clear: hours saved, response time, error rate. Then take the next task that uses the same data or system, because each connection you have already built makes the next project cheaper.

Keep monitoring: models and data change, so an automated process needs logs, alerts and a person who looks at the exceptions every week.
