Which documents can AI read for a UAE company?

Most of these documents mix Arabic and English, and many arrive as scans or phone photos. Layouts differ between issuing authorities and free zones, and they change over time.

• Company documents - trade licences from mainland and free zone authorities, certificates of incorporation, VAT registration certificates: company name in Arabic and English, licence number, activities, TRN, expiry date.
• Identity documents - Emirates ID, passport and residence visa data for onboarding customers, tenants or staff.
• Contracts - tenancy contracts, supplier agreements and service contracts: parties, dates, amounts, renewal and notice periods.
• Trade documents - bills of lading, airway bills, packing lists and certificates of origin: shipper, consignee, container numbers, HS codes, weights.
• Forms - filled PDF forms, handwritten application forms and delivery notes with stamps and signatures.

How does AI check the data it extracts?

Extraction without checks just moves errors faster. Each field passes rules before it is written anywhere: an Emirates ID number has 15 digits and starts with 784, an expiry date lies in the future, a TRN has 15 digits and belongs to the company you think it does, totals add up, and the Arabic and English names on a licence refer to the same entity.

The AI also rates its confidence for each field. Clear fields go straight through. Blurred stamps, handwriting and contradictions go to a review screen where a person sees the document and the extracted value side by side and corrects it with one click. Corrections are logged, so recurring problems become new rules.

Where does the extracted data go?

Into the system where the work happens. A customer's trade licence updates the CRM record and sets a reminder before it expires. A supplier's VAT certificate fills the vendor master in the ERP, so later invoice checks rely on a correct TRN. A bill of lading creates the shipment record for your forwarder or customs broker. An employee's visa page feeds the HR file. Each record keeps a link to its source document, so anyone can see where a value came from.

Connections run through the systems' interfaces or import files: Odoo, Zoho, SAP Business One, Microsoft Dynamics, Salesforce, HubSpot, a document management system or a shared drive. How is personal data in documents protected, and what does it save?

Identity documents contain personal data, which the UAE's Personal Data Protection Law, Federal Decree-Law No. 45 of 2021, and in DIFC and ADGM their own data protection rules address. Before we build, we fix which fields the AI may read, where processing happens, for example on servers in the UAE or the EU, who has access and when copies are deleted. This is not legal advice.

Example calculation: assume a company onboards 150 business customers a month and staff spend 8 minutes typing licence, TRN and contact data from each file. That is 1,200 minutes, or 20 hours.
