What happens after a meeting, step by step?
The steps start as soon as the recording is available, often before the salesperson is back at the office:
- Transcribe - the recording from Teams, Zoom, Google Meet, a phone call or a WhatsApp voice note is transcribed, including conversations that switch between Arabic and English.
- Summarise - a short summary: who took part, what was discussed, open questions, figures mentioned.
- Tasks - agreed actions with owner and date, for example 'send revised quote by Thursday', created in your task tool or CRM.
- CRM update - the contact, company and deal record in HubSpot, Zoho CRM, Salesforce, Odoo or Microsoft Dynamics is updated: stage, next step, budget signals, decision makers.
- Follow-up - a follow-up email is drafted in the client's language, ready for the salesperson to edit and send.
How do you handle consent and confidentiality?
Recording needs the consent of all participants. UAE law protects the privacy of conversations, and recording someone without consent can be an offence, so the system is built consent-first: the invitation says the meeting will be transcribed, the assistant announces itself when it joins, and if a participant objects, nothing is recorded. For in-person meetings, the salesperson asks at the start. This is not legal advice; your legal team sets the policy.
Transcripts often hold prices, margins and personal details. Before the build we decide where audio is processed, for example on servers in the UAE or the EU, how long recordings are kept and who can read which transcripts. Many teams delete the audio once the summary is approved and keep only the text.
Which dialects and systems does it handle, and what does it save?
Current models transcribe Gulf, Levantine and Egyptian Arabic, English with many accents, and Russian, but quality depends on the audio and the dialect. We test with your own recordings before launch and teach the system the names of your products, places and clients so they are spelled correctly. It works for internal meetings too: weekly sales reviews, project meetings on site, management calls. The summary goes to the team channel, and tasks land in the project tool instead of in someone's memory.
