Why connect AI to your ERP or CRM instead of buying a new tool?

Your ERP and CRM already hold the truth about customers, stock, prices and invoices. A separate AI tool that cannot read or write that data becomes one more screen to copy into.

Connected AI works the other way round. It reads an email, finds the customer in the CRM, checks stock in the ERP and creates the record there. Many systems now ship their own AI features. They help inside that one system, but they rarely handle the steps between systems, and those steps are where the time goes.

What does AI integration look like in each system?

• Odoo - through Odoo's external API, AI creates sales orders from emailed purchase orders, attaches the PDF and flags prices that differ from the pricelist.
• Zoho CRM and Zoho Books - through Zoho's APIs and webhooks, AI qualifies new leads, fills missing fields and drafts the quote in Zoho Books for a salesperson to send.
• HubSpot and Salesforce - triggered by a workflow or webhook, AI summarises each inquiry, sets the deal stage and logs the next step.
• SAP Business One and Microsoft Dynamics - through SAP's Service Layer or the Dynamics 365 APIs, AI checks incoming invoices against purchase orders before they are posted.
• Tally - where no modern API is available, AI works with Tally's XML interface or with scheduled exports and imports.
• Spreadsheets and email - when a system has no usable interface, the fallback is structured email or file exchange, logged like every other step.

How much manual entry does an ERP integration remove?

Example calculation: assume a distributor in Al Quoz receives 25 customer orders a day by email and a person spends 6 minutes typing each one into Odoo. That is 150 minutes a day. Over 22 working days it adds up to 3,300 minutes, or 55 hours a month. With an integration, the AI creates a draft order and a person checks it in about a minute: 25 minutes a day, or just over 9 hours a month.

How do we keep your ERP data safe?

The AI gets its own user with the fewest rights its task needs. It may read the pricelist but not change it, create draft orders but not confirm them, until you decide otherwise. Every write is logged with its source document, so an accountant can trace any record back to the email it came from.

We test on a copy or a test company first, never on live books. Before the build we agree which data leaves the system, which AI model processes it and where it is hosted, for example in the UAE or the EU.
