What happens in a shared inbox today?

In most companies the shared inbox is a queue that nobody fully owns. info@ receives sales questions, job applications, supplier offers and spam. sales@ receives orders and complaints mixed together. accounts@ receives invoices, statements and payment reminders, usually as attachments.

Someone opens each email, decides what it is and forwards it. That person becomes a bottleneck, and when they are on leave the inbox piles up. Arabic and English emails land in the same queue, and long threads hide the one line that matters.

The cost is not only time. A customer who waits two days for an answer to a simple question may not write a second time, and an invoice forwarded to the wrong person can miss its payment date.

What can AI do with incoming email?

It works with Microsoft 365 and Outlook, Google Workspace and Gmail, and most other mail systems through standard interfaces. Your team keeps working in the mail app it knows.

• Sort - classifies each email as order, inquiry, complaint, invoice, application or spam, and marks urgency.
• Read attachments - pulls data from PDFs, spreadsheets and scans, such as order lines or invoice totals, and passes it to the right system.
• Draft replies - writes a reply in the sender's language, Arabic or English, using your templates and data, for a person to check.
• Route - sends each case to the responsible person or team with a two-line summary.
• Chase - notices when a customer has waited too long and reminds the owner.

How much time does email automation give back?

Example calculation: assume a shared inbox receives 90 emails a working day and each takes 2 minutes to read, sort and forward. That is 180 minutes, or 3 hours a day. Over 22 working days it adds up to 66 hours a month, before anyone has written a single answer.

Which emails should AI never answer alone?

Complaints, legal notices, anything about money leaving your account and messages from key clients. For these the AI drafts and a person decides. Routine confirmations, such as receipt of an order or office hours, can go out automatically once you trust the drafts.

Email automation also helps against a common fraud: a supplier email asking to change bank details. The AI flags such requests for a phone check instead of passing them on.
