n8n, Make, Power Automate, Zapier or custom code: which fits?

There is no single best platform. The choice depends on where your data may go, how many runs a month you expect and who maintains the flow after launch.

• Zapier - quick to start, many ready connectors, runs in the vendor's cloud. Good for simple flows with low volume.
• Make - visual scenarios with branching and data mapping, also cloud-hosted. Good for medium complexity.
• Power Automate - the natural choice if your company runs on Microsoft 365, Outlook, Teams and SharePoint. Its desktop version can operate older Windows software.
• n8n - can be self-hosted on your own server in the UAE or the EU, so data stays where you decide. Good for sensitive data and higher volumes.
• Custom code - for pipelines with many steps, large volumes or strict checks. More work to build, but no per-task fees and full control.

When should a workflow be self-hosted?

Self-hosting makes sense when a workflow handles personal data, financial records or client documents that should not pass through a foreign cloud, or when volumes make per-task pricing expensive. n8n or custom code on a server in the UAE or the EU keeps the data path short and known.

Cloud tools are fine for internal notifications, marketing flows and anything low-risk. Many companies mix both: a cloud tool for simple triggers, a self-hosted engine for the core process. We document which data flows where before the build.

What does a workflow look like in production?

Our own data product DXB Radar is one. As of September 2026 its pipeline runs every 2 hours without a manual step. It fetches data from around 20 public sources while respecting each source's robots.txt, checks and evaluates it, has built around 4,800 pages in 8 languages and reports changed pages to search engines through IndexNow. A full run takes about 6 minutes.

The safeguards matter more than the speed. An hourly maintenance job removes only items that are provably unsendable. If more than 80% of a queue would be affected, an emergency brake reports instead of deleting, and every removal goes into a recycle-bin log. For an installation company in Germany, a watchdog checks the website and booking interface every 2 minutes and restarts them on failure, with a daily backup kept for 14 days. How do you know a workflow is still running?

A workflow that fails quietly is worse than none. Every flow we build logs each run, retries failed steps a set number of times and alerts a named person when it gives up. Where AI makes a decision, such as classifying an email, the log shows the input and the decision.

Example calculation: assume someone spends 30 minutes every working day exporting orders, cleaning the sheet and emailing a summary. Over 22 working days that is 660 minutes, or 11 hours a month and 132 hours a year. A scheduled workflow does the same in the background and sends the summary before the team arrives.
