AI for trading companies in Dubai
For import, export and general trading firms: quotations, orders and supplier mail handled faster, in the languages your partners write in.

AI for trading companies in Dubai handles the paperwork between suppliers and customers: quotations, purchase orders, supplier emails, invoice matching and stock questions. AI Vision Hub in Business Bay, Dubai, connects it to your email, ERP and inventory, in Arabic, English and other trading languages. Your team keeps the deals, the AI keeps the documents moving.
Why does paperwork slow down general trading companies?
A typical trading L.L.C. in Deira, JLT or Jebel Ali Free Zone buys from manufacturers in China, India, Turkey or Europe and sells across the GCC and beyond. Every deal creates a chain of documents: inquiry, quotation, purchase order, proforma, commercial invoice, packing list, delivery note.
The information sits in emails, PDFs and spreadsheets. The team copies prices, quantities and HS codes by hand, answers the same stock questions every day and writes to suppliers in several languages. Mistakes show up late, at customs or at payment.
How do quotation automation and purchase order automation work?
- Quotations - reads a customer inquiry, checks prices and stock, and drafts a quotation for your sales team to approve.
- Purchase orders - turns confirmed orders into purchase orders in the ERP and prepares them for the supplier.
- Supplier emails - sorts incoming mail, extracts delivery dates and price changes, and updates the order.
- Invoice matching - compares supplier invoices with the purchase order and the goods received, and flags differences in price, quantity or VAT.
- Stock questions - answers sales staff and customers by email or on WhatsApp with current stock and next arrivals from your system.
- Multilingual communication - drafts and translates supplier and customer messages in English, Arabic, Russian, Turkish, French and more.
How does it work on a normal day?
Example: a customer in Oman emails a request for 40 pallets of a building material. The AI reads the request, checks stock in the Jebel Ali warehouse and the latest supplier price, and prepares a quotation in your template. The sales manager adjusts the margin and sends it. When the order comes in, the purchase order to the supplier is already drafted.
Example: a supplier invoice arrives as a PDF. The AI matches it with the purchase order, finds that the unit price is higher than agreed and puts it on hold with a short note for the finance team.
How do we start, and who stays in control?
Prices, margins, credit terms and payments stay with your people. The AI prepares, your team approves, and every step is traceable. It works inside your email, ERP, accounting and inventory tools, including the spreadsheets many trading firms still rely on.
It starts with a free AI check. We follow one real deal from inquiry to payment and mark where time is lost. You receive a blueprint with a fixed price, we build with your real data and train your team. Before the build we agree which data the AI may use and where it is processed, for example on servers in the UAE. More on our approach: AI integration.

Questions
(FAQ)Usually yes, through the system's interface, email or exported files. Many trading firms also work with Excel or Google Sheets, which the AI can read and update as well.
It prepares and checks the invoice data, and your Accredited Service Provider (ASP), approved by the Ministry of Finance and the Federal Tax Authority (FTA), handles the e-invoice. After a pilot and voluntary phase from 1 July 2026, e-invoicing is mandatory from 1 January 2027 for businesses with annual revenue of AED 50 million or more (ASP appointed by 30 October 2026) and from 1 July 2027 for businesses below AED 50 million (ASP appointed by 31 March 2027). AI Vision Hub is not an ASP: we connect capture, matching and approvals to your ERP and the ASP you choose.
Only if you want it to. Most trading companies let the AI draft quotations and keep a person who approves prices and margins before sending.
