Are your processes ready for AI?

  • Which three tasks take the most hours every week, and how often do they repeat?
  • Is each of these tasks done roughly the same way by everyone, or does it depend on the person?
  • Where do requests wait longest: inbox, approval, data entry or reply?
  • Which mistakes cost the most money or customer trust today?

Is your data ready for AI?

  • Where does the information for these tasks live: email, PDFs, ERP, CRM, spreadsheets, WhatsApp?
  • Is the data current and in one place, or spread over personal folders and phones?
  • Are product names, customer names and prices written the same way everywhere?
  • Which data is personal or confidential and must be handled with extra care?

Can your systems be connected?

  • Which software do you use for accounting, sales, stock and email?
  • Does it offer an interface (API), an export or at least email notifications?
  • Who administers it, in-house staff or an external partner?
  • Are there older desktop programs that can only be operated through their screens?

Are your people and rules ready?

  • Who owns the first AI project and has time for it, at least a few hours a week?
  • Do staff already use AI tools, and with which accounts?
  • Is there a written rule on which data may go into AI tools?
  • Who approves AI output before it reaches a customer?

  • How will you measure success: hours saved, response time, fewer errors?
  • Which task would you choose first if you could only automate one?
  • Who in the team is most sceptical, and what would convince them?

How do you read the result?

If you can answer most process and data questions clearly, you are ready for a first project, even if the systems are old. If the data is scattered, the first step is to bring one data source together, which already pays off without AI. If nobody owns the project, start with a short AI training for the team and an internal rule.
